Global Reassignment

This option will allow an agency to re-assign, en-masse, client and / or policy assignments for both marketing and active policies and their corresponding open actions, from one employee to another employee assigned to the same branch. Choosing to reassign open actions will reassign to the selected assignment even if the current user assigned does not match the employee being reassigned. This will not affect policies in history or any closed actions. The global reassignment also updates unposted invoices at both the client and policy level with both employee name and role as well as updating the role on the policy info tab. The names of employees who were listed in an Other Commissions line item in a policy's policy info tab are also updated. Open Personal Actions can be re-assigned using this tool. 

To Perform Global Reassignment

  1. On the Primary menu, click ORGANIZATION.
  2. Click the branches tab.

Note:  If employee is assigned to multiple branches, they will need to be re-assigned at each branch level.

  1. Click the Details icon of the appropriate branch.
  2. Click the employees tab.

Note:  If the employee has been terminated click on the [Show] filter, select Terminated Employees from the Employee Status list and click Search.

  1. Click the Details icon of the employee who is to be re-assigned. The employee detail tab is displayed. Notice the Re-Assign link on the Navigation Toolbar.

  1. On the Navigation Toolbar, click Re-Assign. The Re-Assign Employee dialog box is displayed.

  1. In the Re-Assign Employee dialog box, a list of all active branch employees is displayed. Select one employee to re-assign to.
  1. In the Assignment Type area, select one or more assignment type(s). The available options are:

Note: When reassigning client assignments, the policy assignments for that client are NOT reassigned. Conversely, when re-assigning all the policies for a particular client, the client assignment is NOT re-assigned. To re-assign both Client Level and Policy Level assignments, the Assignment Type for both must be selected.

  1. In the criteria type selection box, the criteria will become active based on the Assignment Type chosen. Select one of the available criteria types. Once the criteria type is selected, click [Next]. The screen that is displayed depends on the selection made in the criteria box as explained below:

Tip: Use the Search Type option in the Search Filters to select an alphabetical range of clients. Once Range is selected in the Search Type list, the From Client / To Client boxes are displayed. Enter the specific alphabetical range for the search. For example, if all clients with names that start with A are desired, then From Client must be "A" and To Client must be "B". The "B" is necessary to capture all clients with names starting with an "A".

Tip: One way of locating specific policies is to filter using Lines of Business. To filter by LOB, you can enter one or more LOBs in the Line of Business Selected box in the search filter.

Note: Notice the Ellipsis button next to the Line of Business criteria option. Click the Ellipsis button to open the LOB selection screen.

Important: This line of business criteria is to further filter policies. It is not the same as re-assignment By Line of Business. To use this screen...

  1. Make selections in the State and Type lists to narrow the available LOBs.
  2. In the Available Lines of Business box, select the LOBs that are on the policies to be reassigned. These LOBs are selected to filter the policies available on the By Policy screen. Once this filter has been applied, only the policies containing the appropriate LOBs will be displayed.
  3. In the Lines of Business Selected box, the LOBs that have been moved to this box will be looked for as monoline policies. This means that the filter will return policies that are monolines only.
  4. In the Include Package Policies check box, select this option if the LOBs selected are found in package policies as well as monoline. The For package policies... options will be made available for selection.
  5. In the For package policies... area, select one of the following:
  1. Once the selections have been made, click OK. The Line of Business filter is now set to search for the LOBs selected.
  2. Click Search. The policies that match the LOB criteria selected are displayed.

  1. Make selections in the State and Type lists to narrow the available LOBs.
  2. In the Available Lines of Business box, select the LOBs that are on the policies to be reassigned. These LOBs are selected to filter the policies available on the By Policy screen. Once this filter has been applied, only the policies containing the appropriate LOBs will be displayed.

  4. In the Include Package Policies check box, select this option if the LOBs selected are found in package policies as well as monoline. The For package policies... options will be made available for selection.
  5. In the For package policies... area, select one of the following:
  1. Once the selections have been made, click OK. The Line of Business filter is now set to search for the LOBs selected.

  1. Once all required selections have been made, click [Next].

Important: When the re-assignment is done By Responsibility, the role will not change on the other commissions tab.

  1. The Re-Assign screen gives the following options, select Yes or No:
  1. Click [Re-Assign]. A confirmation message is displayed. The option to do more re-assignments is also available.

Important: If large amounts of records are being re-assigned, the process may take some time. DO NOT navigate away from the re-assignment while in progress.
