Carrier Commission Downloads
The commission statements come in as a group under the carrier name.
The commission statement is worked as a group.
To Process Carrier Commission Downloads
- Prior to working with
the download commission statements, process all the policy downloads.
- On the Home
menu,
clickINTERFACE.
- In the Search Filters area, click [Show]. The Search Filters screen is displayed.
- In the Search Filters area, make the following selections:
- File Type: Commission Download
- File Status: Pending
- Click Search. The filter results are displayed. If the interface file is not found, change the Search Filter selections. Change the File Type to Excel Commission Download File if the commission download is an imported Microsoft Excel spreadsheet. Change the File Status to All to include completed files. If the interface file processed without exceptions it will not have a status of Pending.
- Click the Details icon next to the interface file to be processed. The interface details tab is displayed.
- If there is a red exception message displayed with the download, click the error message to resolve the issue. In this case, the policy could not be determined for a couple of the downloads. After clicking on the red error message, the Policy screen is displayed.
- Select the appropriate policy for the download and click [Select]. The download is then resolved.
For other downloads resolutions, the item can be re-processed by clicking the Re-Process link on the Navigation Toolbar. All items in the download will be re-processed as many times as necessary.
Items can also be removed by selecting the check box next to the download and clicking Remove on the Navigation Toolbar. Multiple downloads can be removed at one time by setting up filters to search for all downloads to be deleted, clicking [Select All] then Remove. Verify that your search results are as expected; Nexsure has no restrictions on what types of items can be deleted.
When a carrier sends a commission download with a Personal Auto LOB that is actually titled a Motorcycle LOB in Nexsure or vice versa, there are two ways the transaction can be associated with the correct policy in Nexsure:
- Click the Re-Process link on the Navigation Toolbar. This will try to find an exact match of policy number, policy effective date, policy expiration date, transaction date and NAIC code to match at least one in the family of carriers. Regardless of the title of the LOB if the criteria are an exact match with a policy in Nexsure, they will be associated.
- Click the red error message under the transaction and manually associate the transaction to the correct policy on the Policy dialog box. The policies that are available for selection will have met the exact match criteria noted in (a) above.
When a carrier sends a commission download with a Personal Home, Renter or Condo LOB that is actually titled with a different LOB name in Nexsure, the same solutions apply as in (a) and (b) above with the same match criteria.
- Once all downloads have been resolved or removed, click the interface details tab to refresh the screen. TheTotal Exceptions in the interface header should be zero. The Total Transactions number identifies the number of transactions that will be invoiced and processed, whether or not they are displayed on the screen. After all exceptions have been resolved, the Create Invoices option on the Navigation Toolbar becomes available.
- On the Navigation Toolbar, click Create Invoices. The Create Selected dialog box is displayed.
- Click OK. When Create Invoice Processing finishes, the View Invoices link becomes available Invoices created will be rounded to the nearest penny.
- On the Navigation Toolbar, click View Invoices. The Commission Download tab is displayed with un-posted invoices from the commission download.
- Only the Bill Type option can be edited at this time. Edit the Bill Type if necessary.
- To add or editOther Commissions, select the check box for the invoice line item and click the Other Comm ellipsis. The [Add New Other Commission] link becomes available at the bottom of the screen. Other Commission information calculated from policy info is listed and may be edited.
- Click [Add New Other Commission]. The Add People Commission section is displayed.
- Search for the staff member to which the commission will be added. The search results are displayed in the Employees box.
- In the Employees box, select the employee to use.
- In the Production Role list, select the production role for the staff member.
- In the Production Credit Amount box, enter the commission amount. Production Credit must equal 100%.
- In the Rate Type list, select the rate type to apply to the commission amount Field is automatically populated by Flat for commission downloads files, unless % of premium rule is selected..
- In the Rate box, enter the rate of the commission.
- Click OK. The other commission is added to the Add Carrier Statement Transactions screen.
- On the Navigation Toolbar, click Create Recon to pay and post all invoices and create a new reconciliation for each territory. The Recon Totals are displayed.
Tip: To create and post the invoices and create and post the reconciliation, click the Create/Post Recon link on the Navigation Toolbar instead of Create Recon.
- Click OK. The recon then processes. Click the interface details tab to refresh the screen. When the recons are done processing, the Reconciliation Created link is displayed on the Navigation Toolbar.
- On the Navigation Toolbar, click Reconciliation Created to view a summary of the reconciliation.
The invoices are added to the Transactions - Direct Bill Quick Navigation link in the reconciliation record. The invoices are now regular invoices with a (D) for download entry. The invoices cannot be reversed or edited until the reconciliation is complete. Post the reconciliations through the reconciliations tab at the following path: ORGANIZATION > territories tab > territory details > accounting tab > transactions tab > reconciliation tab.
